What this means for your business
An AI tool can make a task look faster while moving the work somewhere else.
If a draft takes seconds but needs ten minutes of correction, include the correction. If customers need a second conversation because the first answer was wrong, include that too.
Compare a small set of real tasks before and after using the tool. Record completion time, checking time, errors and whether the customer got the right outcome. Use appropriately protected information and avoid sending unnecessary personal details to a tool.
Keep AI where it adds reliable value. Replace it with a rule when the answer is fixed. Return work to a person when errors are difficult to detect or the consequences are too important to leave to an uncertain response.
Also ask whether the task should exist at all. Removing a duplicated step can save more than automating it.
The subscription price is only one part of the cost. Your team's attention and the customer's trust belong in the calculation.
Count the whole cost of getting a correct result
Start with a task the business performs repeatedly and define what a satisfactory result looks like. Record the effort required without AI, then record prompting, checking, correction and exception handling with it. A fast first draft is only one part of the work.
Include maintenance. Somebody must update source information, manage access and investigate errors. Customer effort matters too: if a wrong answer creates a second call, the business has moved work rather than removed it. Do not use a tiny, carefully selected demonstration as proof that a tool performs reliably across normal work.
Use stop conditions before the trial begins
Decide what would cause you to narrow or stop the tool: repeated factual mistakes, incorrect commitments, an inability to inspect its sources or supervision that cancels the time saved. Choose the conditions around the actual task rather than an arbitrary accuracy claim.
Then consider the replacement. A known answer may need a template. A missing detail may need a form question. A complicated judgement may need a person. A duplicated report may need to disappear. Simplifying is a valid result of an AI review, and a smaller bounded use can remain worthwhile after a wider use is rejected.
A practical place to start
- Define a correct result and a representative sample of tasks.
- Measure human checking and correction as well as generation time.
- Log errors and customer consequences, with an owner for reviewing them.
- Compare a simpler rule, template or process change before extending the subscription.
How this could look in practice
Illustrative example: a business uses AI to categorise enquiries into four services. Staff repeatedly correct similar misclassifications. Adding a clear service question to the form handles most requests reliably, leaving an "unsure" route for a person. AI may still help summarise free text, but it no longer controls routing. The replacement follows evidence about the task rather than a preference for or against the technology.
Where tools and people fit
Keep AI where flexible language work offers a clear advantage and verification is practical. Use deterministic rules for fixed answers and direct human judgement for sensitive exceptions. Disable the automated action before testing a replacement so the customer does not receive conflicting responses from both systems.
How to judge whether it helped
Compare the cost per correctly completed task, time to a useful customer outcome and the seriousness of errors. Record which tasks remain manual and why. If the business cannot observe failures, improve oversight before claiming that the system works.
